Multi-location scheduling

How to plan staff coverage across locations

Scheduling · Published by WorkShift HQ ·

A shared roster can support several sites, but the manager needs to keep location hours, shift ownership, coverage rules, and reporting inputs distinct.

Define what each location needs

List each site’s opening hours, typical service periods, required roles, and minimum staffing needs. Avoid assuming that every location has identical demand or that a headcount target alone guarantees the right skill mix.

In WorkShift HQ, locations can have their own business hours and staffing targets. A location can inherit workspace settings where no override has been set; check the configured values before reading a gap indicator as a complete operational assessment.

Assign shifts and staff to the right place

Keep shift and staff location assignments current so managers can filter the schedule and review location activity. Consider travel time, handoffs, qualifications, and any rule that applies when a worker moves between sites.

Locations in one workspace share the roster and subscription. Separate workspaces are a different choice: their schedules and operational data are not shared with each other.

Plan with the limits of the subscription in view

Solo and Studio each include one location; Salon includes unlimited locations. If the business needs additional locations, compare the plan requirement before building a workflow around them.

A multi-location plan makes it possible to configure location schedules and targets in one workspace, but it does not decide how labor should be allocated among sites. A manager still sets the operating rules and reviews each calendar.

Compare scheduled and actual hours carefully

At the end of a schedule period, compare planned labor with time-clock records where they exist. Review missing punches before treating a location’s actual-hours total as complete, and distinguish a scheduled estimate from an approved payroll figure.

Job Analytics groups schedule and labor data by location. Its manual revenue less scheduled labor excludes other expenses; do not treat the remainder as net profit.

Keep the next schedule grounded in evidence

Look for repeated gaps, unevenly distributed hours, or differences between the schedule and time-clock records. Ask whether those patterns reflect demand, availability, a one-off event, or incomplete data before changing targets.

The aim is a more informed planning conversation, not a guaranteed reduction in labor cost. WorkShift HQ does not automatically import location revenue or optimize cross-site staffing.
